How to Password Protect Your Office Printer

Use the Secure Print Feature on a Brother Printer

Brother printers have a Secure Print feature that lets you password protect your sensitive files during printing. This feature sends the print job to the printer, but does not allow the job to print until the authorized user enters their passcode. 

Windows OS

How to password protect documents on a Brother printer on Windows OS:

  1. Open the print dialog box from the document you plan to print.
  2. Select your Brother printer (look for the model number) and click the “Printer Properties” link or the “Properties” button.
  3. Go to the “Advanced” tab.
  4. Go to the “Secure Print’ field and choose “Settings.”
  5. Click the “Secure Print” check box.
  6. Enter your user name, job name, and four-digit passcode (keep in mind you must set a separate password for each document you print).
  7. Click “OK” and print your document.
  8. Go to the printer and press “Secure.”
  9. Select your user name, then press “OK.” 
  10. Select the job name, then press “OK.”
  11. Enter your passcode.
  12. Press the up or down arrow to select the print option, then press “OK.”
  13. Select the number of copies you want to print. 
  14. Press “OK.”

Mac OS

How to password protect documents on a Brother printer on Mac OS:

  1. In the document you wish to print, click the “File” menu, then choose “Print.”
  2. Select your Brother printer (look for the model number) then click the pop-up menu and choose “Secure Print.”
  3. Click the “Secure Print” check box.
  4. Enter your user name, job name, and four-digit passcode (keep in mind you must set a separate password for each document you print).
  5. Click Print. 
  6. Go to the printer and press “Secure.”
  7. Select your user name, then press “OK.” 
  8. Select the job name, then press “OK.”
  9. Enter your passcode.
  10. Press the up or down arrow to select the print option, then press “OK.”
  11. Select the number of copies you want to print. 
  12. Press “OK.”

Use the Locked Print Feature on a Savin Printer

Savin printers offer a Secure Print Release feature called “Locked Print.” This feature allows you to password protect documents sent to your Savin Printer. Once the user enters their password, the printer will release the document.

How to password protect documents on a Savin Printer using Locked Print on Windows OS:

  1. Open the print dialog box from the document you plan to print.
  2. Go to “File” then “Print.”
  3. Select your Savin printer.
  4. Click on “Preferences.”
  5. Go to the “Detailed Settings” tab and click on “Job Setup.”
  6. Change “Job Type” to “Locked Print.”
  7. Click on “Details” and enter a user ID and password.
  8. Print your document.
  9. Go to the Savin printer and choose “Printer.”
  10. Select “Print Jobs” then “Locked Print Job.”
  11. Find and click your print job, then press “Print.”
  12. Enter Your Password and press “OK.”
  13. Press “Print.”

Mac OS

How to password protect documents on a Savin Printer using Locked Print on Mac OS:

  1. Open the print dialog box from the document you plan to print.
  2. Choose “Show Details” if the details are hidden.
  3. Change the job type to “Job Log.”
  4. Enter a user ID and password.
  5. Go to the Savin printer and choose “Printer.”
  6. Select “Print Jobs” then “Locked Print Job.”
  7. Find and click your print job, then press “Print.”
  8. Enter Your Password and press “OK.”
  9. Press “Print.”
